Should you sleep, hibernate or shut down a work laptop?

Sleep for short breaks, hibernate before travel or a long stretch away from a charger, and restart at least once a week. Shutting down every night is not the win most people assume, because a Windows feature called Fast Startup means a shutdown hibernates the core of Windows to a file on disk rather than clearing it. What each option actually does

Sleep: Microsoft's description is that "Sleep uses very little power, your PC starts up faster, and you're instantly back to where you left off", and Windows saves your work and powers down if the battery gets critically low. Your session stays in memory and the machine stays running at very low power.

Hibernate: "Hibernate uses less power than sleep and when you start up the PC again, you're back to where you left off (though not as fast as sleep)." Your whole session is written to disk and the machine genuinely powers off. Microsoft's recommended use is "when you know that you won't use your laptop or tablet for an extended period and won't have an opportunity to charge the battery during that time". Note it is not on every device: Microsoft states the option "was designed for laptops and might not be available for all PCs. (For example, PCs with InstantGo don't have the hibernate option.)"

Shut down: powers the machine off, but on any PC capable of hibernation Fast Startup is enabled by default, so what actually happens is that Windows closes your programs and signs everyone out, then saves the core of Windows and its loaded hardware drivers into a file on the disk called hiberfil.sys. Microsoft's wording: "During Fast Startup, the kernel session is not closed, but it is hibernated."

Restart: the only option that always performs a full boot cycle. Microsoft states that "The Fast Startup setting doesn't apply to Restart." See our guide to the difference between a restart and a shutdown.

Sleep is not what it was: modern standby

On most laptops sold in recent years, "sleep" no longer means what it used to. The old kind, known as S3, simply held your session in memory and stopped everything else. What you get now is modern standby, which Microsoft describes as using "the S0 low power idle model", enabling "an instant on / instant off user experience, similar to smartphone power models". In Microsoft's words, that model "enables the system to stay connected to the network while in a low power mode". Background work continues in short controlled bursts, which is why a modern standby laptop can process email or download updates with the lid shut.

That is usually a benefit and occasionally the cause of a mystery: a laptop that arrives at the office warm and flat, or a machine that seems to have been busy overnight. Two useful facts, both for whoever manages the machines rather than the person using one. First, you can see which states a device supports by running powercfg /a in a terminal, which lists the available sleep states and gives a reason for each unavailable one. Second, you cannot simply switch a modern standby device back to the old model: Microsoft is explicit: "Switching between S3 and Modern Standby cannot be done by changing a setting in the BIOS. Switching the power model is not supported in Windows without a complete OS re-install." See Microsoft Learn on modern standby.

One more thing powercfg /a will tell you: if hibernate is unavailable on a device, so is Fast Startup, because Fast Startup depends on hibernation. On those machines a shutdown really is a full shutdown.

Which to use, when

Stepping away for under an hour: lock the screen with Windows + L, or sleep. There is no reason to close everything down for a meeting.

End of the working day at your desk: sleep or shut down, either is fine, because neither of them is the thing that keeps the machine healthy. Check with whoever manages your devices before making a habit of shutting down, since overnight patch and maintenance windows often assume the device is powered on and reachable.

Travelling, going in a bag, or flying: hibernate, or shut down. A sleeping laptop is still a running machine, and on modern standby hardware it may keep doing background work and draining battery in transit. Hibernate writes the session to disk and powers the device off, so you come back to your work rather than a flat battery.

Before you log a support ticket, and once a week regardless: restart. This is the only one of the four that does the work people believe shutting down does.

The patching consequence people miss

A laptop that only ever sleeps quietly accumulates pending updates. Microsoft documents the consequence: "Installation of some Windows updates can be completed only when starting your computer after a full shutdown." Because Fast Startup uses hibernation rather than a full shutdown, the same article concludes: "In order to make sure pending updates are completed, you have to choose Restart from the Power menu." Sleeping is not a substitute, and neither is shutting down.

Whether Windows eventually forces the issue depends on your licensing. Hotpatch updates install security patches without a restart, leaving only four baseline months a year that require one, January, April, July and October, and Microsoft enables them by default for all eligible devices in Intune. But Microsoft Learn scopes the feature to Windows 11 Enterprise version 24H2 and later, and Microsoft 365 Business Premium grants Windows 11 Business upgrade rights rather than Enterprise, so most small and mid-sized Australian fleets are not eligible and still get a restart-requiring cumulative update each month. Business Premium does appear on Microsoft's list of hotpatch-eligible licences, which is a fair source of confusion, but the edition test is separate.

Battery and hardware, briefly

We are regularly asked whether a nightly shutdown protects the battery. In our experience across managed fleets it makes no difference you would notice over a normal three-year refresh cycle, and it is not a reason to choose one option over another. Heat is the factor worth managing, which is the practical argument for hibernating rather than sleeping a laptop that is about to spend two hours in a padded bag. If a specific device's battery health is a concern, ask us to check it rather than changing habits and hoping.

A note on lost and stolen devices

A device left asleep with the screen locked is still a running computer. For travel, a hibernated or powered-off machine is doing less and requires a full sign-in rather than a resume. Always lock the screen when you step away, with Windows + L. If a device is lost or stolen, phone the service desk straight away rather than working out what state it was left in: the response is the same either way, and speed matters more than the detail.
