What is Personal Information and why do we collect it?

Personal Information is information or an opinion that identifies an individual. Examples of Personal Information we collect include names, addresses, email addresses and phone numbers.

This Personal Information is obtained in many ways including correspondence, by telephone, by email, via forms and tools on our website www.blue-arc.com.au, from publicly available sources and from third parties. If you follow a link from our website to a third-party site, we are not responsible for the privacy practices or content of that site.

We collect your Personal Information for the primary purpose of providing our services to you, providing information to our clients and marketing. Website Analytics, Cookies and Forms

Our website uses Google Analytics to help us understand how visitors use the site. This relies on cookies and similar technologies and collects information such as your device type, browser and the pages you visit. This information does not identify you personally, but it is processed by Google and may be stored overseas. You can control or block cookies through your browser settings.

Forms on our website (such as our contact form and client assessment tools) are processed and stored by our website hosting provider on our behalf.

Sensitive Information

Sensitive information is defined in the Privacy Act to include information or opinion about such things as an individual's racial or ethnic origin, political opinions, membership of a political association, religious or philosophical beliefs, membership of a trade union or other professional body, criminal record or health information.

Sensitive information will be used by us only:

  • For a secondary purpose that is directly related to the primary purpose

Third Parties

Where reasonable and practicable to do so, we will collect your Personal Information only from you. However, in some circumstances we may be provided with information by third parties. In such a case we will take reasonable steps to ensure that you are made aware of the information provided to us by the third party.

  • Service providers who host and support the systems we use to run our business, under arrangements that protect your information
  • Third parties where you consent to the use or disclosure; and

Overseas Disclosure

Our core client and service management systems store data in Australia. Some of the service providers that support our business store or process data overseas, including in the United States and Europe. Where Personal Information is disclosed to an overseas provider, we take reasonable steps to ensure it is handled consistently with the Australian Privacy Principles.

How We Use Artificial Intelligence (AI)

Some of the business-grade tools we use include AI features, and these may process service records that contain Personal Information (such as names and contact details) to help us respond faster and improve the quality of our service. We use these features under commercial terms, we do not put client Personal Information into consumer AI products, and our staff review AI-generated output before it is relied on.

We do not use automated decision-making that produces decisions with a legal or similarly significant effect on individuals without human involvement. If that changes, we will update this policy in line with the Privacy Act's transparency requirements.

Security of Personal Information

Your Personal Information is stored in a manner that reasonably protects it from misuse and loss and from unauthorised access, modification or disclosure.

If we experience a data breach involving Personal Information that is likely to result in serious harm, we will assess it and notify the Office of the Australian Information Commissioner and affected individuals in accordance with the Notifiable Data Breaches scheme.

When your Personal Information is no longer needed for the purpose for which it was obtained, we will take reasonable steps to destroy or permanently de-identify it. Client and service records are generally retained for extended periods to support ongoing service delivery and to meet our legal, contractual and insurance obligations.

Access to your Personal Information

You may access the Personal Information we hold about you and to update and/or correct it, subject to certain exceptions. If you wish to access your Personal Information, please contact us in writing.

Blue Arc IT Solutions will not charge any fee for your access request, but may charge an administrative fee for providing a copy of your Personal Information.

In order to protect your Personal Information we may require identification from you before releasing the requested information.

Maintaining the Quality of your Personal Information

It is important to us that your Personal Information is up to date. We will take reasonable steps to make sure that your Personal Information is accurate, complete and up-to-date. If you find that the information we have is not up to date or is inaccurate, please advise us as soon as practicable so we can update our records and ensure we can continue to provide quality services to you.
